Terms of Service

These terms govern your use of myClerkBook. By creating an account, you agree to them. If you have questions, contact legal@myclerkbook.com.

What myClerkBook is

myClerkBook is a manual-first income and expense tracking platform with AI-assisted document parsing. myClerkBook never requests your online banking credentials and never connects to a bank-account aggregator. AI assistance always presents extracted data for your review before it becomes a transaction; myClerkBook does not create or modify your financial records without your confirmation.

Your account

You are responsible for the accuracy of the information you enter and for keeping your account credentials secure. You must be able to enter into a binding contract in your jurisdiction to use myClerkBook. You are responsible for any activity that happens under your account.

Subscriptions and billing

Paid plans are billed in advance on a monthly or yearly basis through Polar, our merchant of record, who handles applicable taxes on our behalf. You can cancel at any time from your account settings; cancellation takes effect at the end of your current billing period, and no partial refunds are issued for unused time unless required by law. Premium trials, where offered, do not require payment details up front and will not auto-convert to a paid plan without your explicit action.

Acceptable use

You agree not to use myClerkBook to: violate any applicable law; upload documents you do not have the right to process; attempt to gain unauthorised access to another user's data or to myClerkBook's systems; or interfere with the normal operation of the service. We may suspend or terminate accounts that violate these terms.

AI-assisted parsing

Document parsing uses a third-party AI provider to extract candidate transaction fields from documents you upload. Extraction can be wrong, particularly on low-quality scans or unusual formats. Every extracted field is shown to you for review before it is saved as a transaction, and you remain responsible for the accuracy of your own financial records.

Your data, your ownership

You own the financial data you enter into myClerkBook. You can export it at any time, and deleting your account permanently and immediately removes your data from our systems, as described in our Privacy Policy.

Not a payment service

myClerkBook does not link to your bank account, move money on your behalf, or act as a payment service or money transmitter, as a current operating practice; this classification has not yet been formally confirmed by legal counsel. Any subscription charges to your card are processed by Polar as merchant of record.

Disclaimer and limitation of liability

myClerkBook is provided on an "as is" and "as available" basis. myClerkBook does not provide financial, tax, or legal advice, and nothing in the product should be treated as such. To the maximum extent permitted by law, myClerkBook is not liable for indirect, incidental, or consequential damages arising from your use of the service.

Changes to these terms

If we make a material change to these terms, we will update the date at the top of this page and, where required by law, notify you directly. Continuing to use myClerkBook after a change takes effect means you accept the updated terms.

Governing law

These terms are governed by the laws of South Africa, without regard to its conflict of law principles, without limiting any statutory protections you are entitled to as a consumer in your own jurisdiction.
